Calgary Short-term Rentals: Build a Licence and Booking Record File

Keep operating approval and booking records together, while testing each obligation separately. A platform listing is not proof that a property meets Calgary's licence requirements.

Start with the current City category

Since April 1, 2025, Calgary's short-term rental framework uses primary and non-primary residence categories. Its licensing definition can cover stays up to 180 consecutive days. That municipal duration is not the federal GST or Alberta tourism-levy exemption test.

The City's current process requires a fire inspection before a licence is issued. Keep the property approval documents, fire-safety material, inspection correspondence and issued licence in a property-specific folder. Do not rely on an application receipt as evidence that permission to operate has been granted.

Illustrative example: a home listed on two platforms

A Calgary host lists the same dwelling on two reservation platforms. The host maintains one booking calendar and one record for each paid stay, with a consistent reference connecting the platform record to the bookkeeping ledger. When a guest changes dates, the original reservation and amendment remain linked.

The financial record can then distinguish gross accommodation charges, platform fees, taxes collected, cancellations and cash received. Two different payout dates do not necessarily mean two different stays, and a cancellation refund should be connected to the original booking rather than entered as a new operating expense.

Separate renewal steps from monthly reconciliation

Calgary uses a citizen myID for the STR application and renewal process. Record which authorized person controls that account and track the actual licence renewal date. Keep evidence of the issued status after renewal alongside the payment receipt. Credentials should remain under the operator's control.

For the financial close, reconcile every booking channel to the ledger and the bank. Calgary requires a permanent electronic transaction record in English identifying each paid guest's full name, email and stay duration. Keep this personal information in the controlled business record system, with access limited to authorized people.

Recheck changes before changing the operation

A new dwelling, a different residence status or a proposed change in use can require a fresh review. The current City instructions and the property's actual conditions should lead that decision. Condominium bylaws can still apply even though City application rules changed in 2025.

A clear record file reduces the work needed when the operator, bookkeeper or City needs to trace an event. It also keeps the question “may this property operate?” separate from “have these bookings and taxes been recorded correctly?”
