Make the invoice easy to accept
We help organize customer details, purchase orders, milestone references and required supporting documents. For a consulting firm, the missing item may be a client sign-off rather than a payment reminder. For a trade contractor, a disputed variation needs to be separated from the undisputed invoice.
Receipts are allocated to the invoices they settle. A single customer transfer may cover several jobs; an advance for future work should not be used to hide an old unpaid balance without a documented agreement.
Build a collection list that reflects reality
An aged report becomes useful when it includes an owner and next action for significant balances. We distinguish invoices awaiting submission, invoices rejected by a portal, genuine payment delays and unresolved commercial disputes. The person handling the client relationship can then focus on the correct conversation.
Illustrative example: a partial milestone payment
A Calgary engineering practice invoices $21,000 including applicable tax, receives $14,000 and learns that one deliverable needs revision. Allocating the receipt leaves the correct $7,000 balance. Recording the customer response beside that invoice prevents an automated reminder from implying that the entire engagement remains unpaid.
