Starting a Calgary Home Business: Keep Approval and Expense Records Separate

Build two connected files when starting a home business: one for permission to operate and one for the financial evidence. Approval to use a home for business does not determine which expenses are deductible.

Identify the municipal question first

Calgary requires businesses to register and obtain location approval; the need for a business licence depends on the activity. A home operation that meets all Class 1 rules follows a different approval route from a Class 2 development-permit application. The full City rules matter, including visits, staff and use of the premises.

Describe what will actually happen at the home. A desk used for remote consulting, a garage used for business activity and regular customer visits are different facts. Retain the submitted description, correspondence, approvals and conditions so a later operational change can be checked against the original arrangement.

Illustrative example: a consultancy begins receiving clients

A Calgary consultant initially works online from a home office. Months later, the owner proposes recurring in-person appointments and a colleague working on site. Before treating that as a routine expansion, the owner checks the changed activity with the City. The bookkeeping file separately records the expense and timing of any approved changes.

The same owner pays $900 for office furniture and an annual software subscription. Retaining invoices, who paid and when each item entered use lets the accountant assess the proper treatment. The municipal approval itself does not turn every household purchase into a business expense.

Use a compact startup record index

Keep a document index that separates municipal approvals, provincial registration, CRA accounts, contracts and financial records. One spreadsheet can identify the document, issuing organization, date, account reference and the person responsible for follow-up. Store sensitive account information through the agreed business record system.

For expenses shared with personal use, collect the facts needed for the accountant's allocation rather than applying an arbitrary percentage. A business bank account and consistent receipt routine make the ongoing trail easier to follow, even where the owner occasionally pays a business cost personally.

Use the City support route for the approval process

Calgary's Business Experience Program assigns a file manager to business-licence applicants. Bring a clear description of ownership, location and activity, plus questions about required permits or inspections. Record the answers and next steps. That municipal guidance and the bookkeeping setup solve different parts of the launch, and both belong on the owner's checklist.
